Privacy Your data, kept simple.

What we collect, why we use it and your cookie choices.

Who we are

Subset Solutions UK Limited is the data controller for this website. We’re registered in England and Wales, company no. 09542306. You can reach us at [email protected] or on +44 345 508 7460.

What we collect

What you send us. If you use our enquiry form, email or call, we keep your name, contact details and what you tell us about your project, so we can reply and, if we work together, deliver it. Enquiry form messages arrive by email. To block spam, the form keeps a scrambled (hashed) form of your network address for an hour, and clears it the next time the form is used after that. Like any website, our host also keeps short-lived server logs (IP address, browser and pages visited) to keep the site running and secure.

Why we use it

To answer your enquiry and to plan and run any work we agree. Our lawful bases are our legitimate interest in responding to you and, where we work together, the contract between us.

Who else sees it

We don’t sell your details. Our email runs on Microsoft 365, enquiry form messages are sent to us through Amazon Web Services’ email service (Amazon SES), and the company that hosts this site processes data for us. Our web fonts load from Adobe Fonts, which receives your IP address to serve them and counts page views for licensing; it doesn’t set cookies. Google processes usage data for us, LinkedIn does too if you accept cookies, and Cloudflare, which delivers this site, counts visits without cookies. Microsoft, Amazon, Adobe, Google, LinkedIn and Cloudflare are US companies or part of them, so some data may be processed outside the UK under their data transfer safeguards.

Cookies and analytics

We use cookies to measure how the site is used and how our adverts perform, and only if you accept them.

Google Analytics and Google Ads load on every page in Google’s Consent Mode. Until you accept, they set no cookies and send Google only cookieless signals, such as the page, the time, your type of browser and device and an approximate location, which Google uses to estimate visits and enquiries in aggregate. If you accept, Google Analytics records how the site is used: pages visited, how far pages are scrolled, roughly where visitors are and what device they use, clicks on our email and phone links and on links to other sites, and when the enquiry form is started, submitted and sent (never what you wrote). It sets two first-party cookies, _ga and _ga_97X5EK6BNJ, which last up to two years, and Google Analytics keeps this data for no more than 14 months. Google Ads may also set _gcl cookies, for up to 90 days, so we can see which adverts led to an enquiry.

LinkedIn’s Insight Tag loads only if you accept. It shows us, in aggregate, which industries and job roles visit the site, and measures our LinkedIn adverts. LinkedIn sets cookies on our site and its own, such as li_fat_id and bcookie, lasting up to a year.

Measuring our adverts. If you arrive from one of our adverts and later send an enquiry, we may share your email address with Google and LinkedIn in hashed (scrambled) form, together with the advert’s click reference, so they can tell us which adverts led to genuine enquiries. They match it against their own records and don’t use it to build a profile of you for other advertisers. We do this under our legitimate interest in knowing which advertising works, and you can object at any time by emailing [email protected], after which we’ll stop including your details. Google’s and LinkedIn’s own use of data is covered by the Google Privacy Policy and the LinkedIn Privacy Policy.

Cloudflare Web Analytics counts visits without cookies or anything that identifies you, so it runs for everyone. We use it to see overall traffic.

If you reject cookies, LinkedIn doesn’t load, Google sets no cookies, and any Google or LinkedIn cookies already set on our site are deleted. Your choice is saved in your browser’s local storage (not a cookie) for 13 months if you accept and 6 months if you reject, after which we ask again. You can change it at any time with “Cookie settings” at the bottom of every page.

The site also uses your browser’s own storage in two small ways. When you send the enquiry form, a copy of what you typed is kept in that browser tab so it can be restored if sending fails; it’s cleared when the enquiry goes through or the tab is closed. If you accept cookies, a short list of sent-enquiry codes is kept so an enquiry isn’t counted twice, and if you arrived from one of our adverts, the advert’s click reference (gclid from Google or li_fat_id from LinkedIn) is kept for 90 days and sent with your enquiry, so we can tell which advert it came from. Rejecting cookies deletes it.

How long we keep it

Enquiries that don’t lead to work are deleted within two years. Records of work we deliver are kept for as long as the law requires for tax and accounting.

Your rights

You can ask to see, correct or delete the personal data we hold about you, or object to how we use it. Email [email protected]. If you’re not happy with our answer, you can complain to the Information Commissioner’s Office at ico.org.uk.
